Director
of Finance and Operations
The Director of Finance is responsible for managing all
financial, accounting and human resources functions of the Long Beach Museum of
Art (LBMA) including government compliance and taxation, billing, collections,
payables and receivables; for all payroll, human resources and personnel
functions; and for supervising the daily functions of the Museum’s Operations
Department. The Director of Finance & Operations reports to the LBMA
Director and supervises the Accounting Manager.
Corporate, Fund and Grant Accounting - Maintains Chart of
Accounts and General Ledger, classifies revenues and expenses and accounts for
all financial transactions in accordance with Generally Accepted Accounting
Principles (GAAP); - Maintains computerized financial systems (General Ledger,
Accounts Payable, Billing and Cash Receipts) and ensures adequate safeguards
and controls; - Coordinates with and provides assistance to Outside Auditors in
their preparation of the annual audit; - Reconciles Bank Statements to General
Ledger; - With input from Director and the Museum’s senior staff, prepares
Annual Budget for review and approval by the Board of Trustees; provides necessary
updates and maintains budget information in financial systems; - Assists
Development Department in preparing financial information for grant
applications, maintaining detailed information and preparing final financial
reports for all grant-funded programs. Financial Management and Control -
Maintains Fixed Asset Ledger and Controls - Maintains short- and long-term
investments, assuming maximum yield and safety of investments; - Oversees
endowment and other funds, ensuring appropriate investment strategies and
compliance with instructions from the Board of Trustees; - Maintains LBMA’s
systems of internal control and seeks new strategies for improving systems.
Financial Reporting - Prepares monthly statements on the financial status of
the LBMA with the results of operation for the period most recently ended and
for the year-to-date in accordance with FASB and current accounting policies
and procedures; - Provides additional management reports, comparisons to
budget, etc. as required; - Serves as the principal liaison to the Board’s
Finance Committee, providing financial statements in advance of the Committee’s
monthly meeting; - Prepares draft memo from Finance Committee Chair to Board of
Trustees on the Museum’s financial status; - Provides grant reporting, event
reporting and program reporting as requested by the Director and senior program
staff; - Provides financial and statistical analysis and reporting as required.
Taxation and Government Compliance - Assists External Auditors in preparation
of Annual Tax Returns and other Federal and State Information reporting; -
Responsible for all State and Local Tax reporting and other government
compliance. Payroll - Collects time cards and reports bi-weekly payroll
information to Outside Personnel Service; - Monitors Payroll information
provided by Outside Personnel Service, including Payroll Tax returns and other
government compliance; - Manages Employee Benefit issues (group insurance,
pension payments/deferrals, worker compensations, insurance, etc.); maintains
and monitors vacation and sick time accruals. Accounts Payable - Records and
reviews invoices and processes them for payment; - Prepares checks, obtains
signatures and distributes checks to vendors; - Records payments and account
distribution in General Ledger. Personnel and Human Resources - Processes
necessary documentation at hiring and termination; - Maintains individual
employee files; - Maintains and updates employee manual detailing policies and
procedures; - Insures that the LBMA and its employees are in compliance with
those policies and procedures; - Insures compliance with Federal, State and
Local labor laws and regulations assuring that standard practices detailed in
Employee Manual are in compliance; - Serves as a resource to Director, Senior
Staff and all LBMA employees, providing current information and assistance in
implementing and monitoring Employee practices and procedures.
Knowledge
Management
experience working in a non-profit environment (optimally in a management role
which included both human resources management and oversight of facilities
& operations); - Strong technical knowledge of accounting and GAAP,
including extensive experience with computerized accounting software and
applications (optimally Blackbaud’s “Financial Edge” software); - Strong
computer skills, including knowledge of spreadsheets and word processing; -
Strong communication skills and commitment to working as part of a team of
senior management professionals, dedicated to advancing the mission of the Long
Beach Museum of Art.
Education
Bachelor’s
Degree in accounting, finance or business administration with a minimum of five
years in accounting and at least three years in accounting management;
