Assistant Director of Development Information Systems
Asian Art Museum

The Assistant Director of Development Information Systems provides a broad range of information services in support of the fundraising activities of the Development department.  The incumbent oversees the management and administration of the museum’s fundraising database and other related software applications. S/he ensures the accuracy and integrity of information systems by directing, training, and supervising the Development Information Systems team in all aspects of gift administration; develops and maintains processes to streamline development tracking and reporting procedures; ensures that all contributed income and earned membership revenue is reconciled with the Finance department on a daily, monthly, and annual basis. 

EXAMPLES OF DUTIES

 

  • Directs, supervises, and evaluates the Development Information Systems team in the accurate and timely entry, acknowledgment, and benefit fulfillment of contributed income and earned membership revenue; manages workloads and utilizes as-needed staff to assist in peak periods. 
  • Establishes, improves and maintains systems, policies and procedures to ensure the integrity of all biographical and financial data in the fundraising database, including standardized coding, processing, and reporting policies; evaluates and updates these policies as necessary to ensure best practices.
  • Provides cogent, user-friendly analyses drawn from the fundraising database and other resources to provide division staff, museum leadership and fundraising volunteers with relevant, accurate information that drives creative solutions to determine new prospects, and increase institutional understanding of current prospects and donor relationships.
  • Designs and generates leadership-level standard and customized reports to meet departmental and museum-wide information needs.
  • Supervises the Gift Processing Specialist to ensure the accurate reconciliation of contributed income and earned membership revenue on a daily, monthly, and annual basis.
  • Develops and enforces data entry guidelines to ensure data quality and consistency; provides support and training in use of the application, including orientation for new staff and specialized training in response to changing roles, improvements in business processes, and database functionality.
  • Collaborates with the Chief Philanthropy Officer, Deputy Chief of Philanthropy, and the Finance department to provide reporting, analysis, statistics, and administrative support for capital campaign.
  • Maintains a prospect tracking and metrics system in the Raiser’s Edge database
  • Assesses and anticipates the needs for information, monitoring, and reporting; ensures that programs are in place for all donors to receive appropriate stewardship, including consistent recognition and an accounting of the impact that their gifts have.
  • Develops ways to streamline and improve development and membership processing by evaluating and researching best practices and software capabilities; recommending and implementing changes to increase efficiency and accuracy; seeking and implementing new technology or software as needed.
  • Represents the Development department in matters relating to institution-wide technology issues; serves as liaison with the fundraising software vendor to ensure proper management and execution of database tasks, use of best practices and implement version updates; coordinates the purchase of, or maintenance and upgrade of fundraising related applications with the Information Technology department.
  • Coordinates electronic screening process.
  • Monitors the integrity of the information contained in the database and compliance with sound financial management policies and practices; directs department-wide training to ensure the accurate and consistent usage of the database by all fundraisers.
  • Works with staff and volunteers involved in the museum’s fundraising programs to support a variety of information needs.

 

MINIMUM QUALIFICATIONS

 

  • Bachelor’s Degree from an accredited college or university and Four (4) years progressively responsible experience in database management in a nonprofit environment; or an equivalent combination of education, training, and experience.  Supervisory experience strongly preferred
  • Solid training and/or experience in fundraising principles and practices including familiarity with financial standards and IRS regulations related to charitable giving; knowledge of best practices related to donor confidentiality and security policies
  • Expertise in Raiser’s Edge software; excellent overall computer skills with proficiency in Microsoft Office, Crystal Reports, and other related applications
  • Advanced knowledge of the principles of database management, data reporting methodologies, and business process workflow
  • Must be accurate and efficient in organizing work; possess a high level of analytical and problem-solving skills and be able to conceptualize and implement creative and successful database management strategies
  • Understanding of fundraising methodologies in prospect tracking and reporting is preferred
  • Must be able to communicate clearly in writing and verbally with staff who are at various levels of computer proficiency
  • Ability to train, direct, supervise, and evaluate staff; work effectively with colleagues, donors, volunteers, members, and the general public; provide consistently excellent customer service to internal and external customers
  • Ability to work at computer for extended periods of time
