Development Associate

Area of focus:

The Development Associate serves as the administrative backbone for the Development Team. S/he contributes to the fundraising elements of the Symphony’s Salesforce database, coordinates the acknowledgement process, manages volunteers, and attends all concerts as a representative of the Development Department. S/he is also a major collaborator with the entire Symphony staff to create an amazing patron experience!

Reporting Structure:

Reports to Associate Director of Development. Serves on the Revenue Team.

Duties and
responsibilities:

Database Entry and Maintenance

  • Lead the entry of all donations and review gift reports to ensure consistent and accurate gift entry across the organization in PatronManager

  • Lead the entry of projections, relationships, and contact activity for major donors and prospects in PatronManager

  • Support the updating of records, contact information, event registrations, and other important information in PatronManager

  • Support the Database Manager by fulfilling basic development needs for PatronManager reports, including contact lists for uses throughout the year, such as direct mail, email, and program books

Gift Processing, Reporting, and Acknowledgements

  • Manage the acknowledgement process for all gifts

    • Maintain acknowledgement timing of 72 hours or less

  • Support the fulfillment of individual donor benefits throughout the year

  • Maintain and update all donor and volunteer listings in the program book

  • Provide customer service for patrons via phone, email, and in person

Volunteer Management

  • Recruit, coordinate, and schedule volunteers for a variety of tasks in support of all Symphony departments and activities

  • Create and send volunteer communications via MailChimp campaigns

  • Coordinate volunteer training in advance and on site as needed

  • Lead the tracking of volunteer data in PatronManager

  • Work with Associate Director of Development to plan and implement annual volunteer thank you and recruitment event

  • Advocate for and consider volunteer needs and viewpoints 

Special Events

  • Attend all special events

  • Manage auction and attendee database (Greater Giving) for Oakland Symphony Gala

Grants Management

  • Create, organize, and update necessary attachments for all grant applications, including board lists, school site lists, work samples, and testimonials/statements of support in conjunction with the Associate Director of Development

  • Lead the completion of the Symphony’s annual DataArts (formerly California Data Project) profile in collaboration with staff across the organization

Miscellaneous

  • Work all concerts, coordinating any volunteer activities

  • Take notes at all Development Committee Committee Meetings  

  • Some additional night and weekend work required

  • Other projects and tasks as assigned

Requirements:

Qualified candidates for this position will have a positive outlook, a willingness to jump in to make things happen, and the ability to learn quickly. 1-2 years of development experience preferred. Strong computer skills are required, with knowledge of donor CRM systems a plus. Proficiency in the Microsoft Office Suite and the Google Suite required. Candidates should be organized, efficient, and proactive in creating innovative solutions. Team player mentality is a must! Occasional work on evenings and weekends expected.

Benefits offered:

Full-time non-exempt position.

Compensation: $20 per hour plus overtime as required and outlined in the 2014 Personnel Manual.
