Overview of the Role:

Are you a team player who thrives in a fast paced environment? Then this might be the place for you! The OFJCC seeks an Administrative Assistant to provide administrative and office support activities for multiple team members within the Arts and Culture department.  This includes implementing administrative systems, procedures and policies and monitoring administrative projects. In addition, this individual will assist in all program events, including overseeing participant registration, and must be available to work some nights or weekends when needed.

Essential Duties & Responsibilities:

Responsibilities include, but are not limited to the following:

  • Manage day to day administrative operations for the Arts & Culture department
  • Be responsible for heavy calendar management requiring interaction with various departments
  • General administrative tasks such as filing, phones, faxing and data entry
  • Assist other team members with room bookings for meetings and events
  • Organize and book travel for performers
  • Assist with program events, including overseeing participant registration for art and culture events
  • Manage and organize the J-Thursday program to include speaker selection and food purchasing
  • Manage all aspects of department volunteers, including scheduling for events, sending reminders and giving full walk through of duties
  • Represent the OFJCC in a professional manner and provides excellent customer service

Qualifications & Skills:

  • Associate Degree or Equivalent
  • 1-2 years of administrative experience
  • Extremely organized and detailed oriented
  • Excellent communication and interpersonal skills.  Ability to communicate information clearly (both written and oral)
  • Ability to problem-solve and work under pressure and time constraints
  • Outstanding knowledge Microsoft Office 2010 especially Excel, Word, Powerpoint and Outlook
  • Ability to work nights and weekends when needed
  • Positive, upbeat and enthusiastic about working in a non-profit environment
