Human Resources Assistant
Southern CA Institute of Architecture

The Human Resources Assistant provides support to both, the Human Resources Director and the Payroll & Benefits Administrator. The HR department is responsible for providing support to over 200+ staff, faculty, and student workers. This position supports the HR team and also works independently on special projects. Assignments may vary according to the Institution’s business needs.

Essential Duties and Responsibilities:

  • Maintain consistent and organized files as labor code requires
  • Assist with payroll, review timesheets, and enter data into Jenzabar EX and ADP
  • Work on ongoing projects: updating job descriptions, auditing and filing confidential employee documents
  • Collect and review New Hire Packets from staff, faculty, and student workers
  • Submit and verify I-9 documentation and keep all records current
  • Prepare New Hire and Employee Separation packets
  • Post open positions on job boards
  • Assist HR Director and the Payroll & Benefits Administrator with various research projects and/or special projects
  • Make photocopies, fax documents, prepare outgoing mail, order supplies and perform other clerical duties
  • Assist staff, faculty, and student workers with any questions or issues
  • Assist with pay increase documentation  and file workers compensation claims when necessary
  • Other duties as assigned


  • Bachelor’s degree in Human Resources, Business Administration, or related field
  • Must have at least 1-2 years’ experience in a human resources environment
  • A desire to learn and build a career in human resources is preferred
  • Must be able to handle confidential information 
  • Listen and communicate clearly and concisely, both orally and in writing
  • Must have high attention to detail, able to work independently and multitask  
  • Exceptional customer service skills a must
  • Payroll experience, knowledge of ADP payroll software and Jenzabar EX  a plus, but not required
  • Proficient in Word, Excel, and Outlook
