Job Summary

The Event Associate is responsible for all aspects of planning and executing Annual Giving Programs events consisting of all Art Councils including LENS: Photography Council, Avant-Garde, and Art Here and Now (AHAN): Studio Forum. This position will work in collaboration with the Annual Giving Programs (AGP) department in conceptualization of these events, vetting dates, and will be responsible for the entire execution of all aforementioned events as well as post-event procedures, while meeting event quality standards as set forth by department head. The position will also be responsible for management of other donor events, as needed.

Essential Duties and Responsibilities

  • Coordinates schedule of events and vetting of programming dates with AGP department and LACMA calendars
  • Oversight of all calendar dates, calendar holds and is responsible for updating these in a timely manner
  • Secures all necessary manpower, equipment, materials, and supplies for event set-up and execution
  • Assists with budget preparation and responsible for meeting budgetary goals (if applicable)
  • Responsible for the creation and circulation of aforementioned event Mail Chimp and printed invitations (if applicable)
  • Manages the compilation and circulation of mailing lists for approval as needed
  • Responsible for meeting invitation print and mailing deadlines
  • Tracks event RSVP’s
  • Coordinates with vendors and museum staff to set-up, break-down, and ensure security throughout the event
  • Creates and distributes event flows, donor research, and RSVP list to Development staff as needed
  • Oversees event photo storage when applicable
  • Supports content development and assembly of materials as needed
  • Executes post-event best practices including exporting of guest lists and arranging for thank-you gifts
  • Manages check-in staff when necessary
  • Corresponds between major donors and various museum departments
  • Performs administrative duties relating to the aforementioned events as required
  • Performs other duties or special projects as assigned
  • Provides general administrative support with office functions, phone calls, and mail documentation
  • Maintains regular and reliable attendance
