Grand Foundation - Executive Director

The Grand Foundation (GF), the non-profit partner of the City of Tracy’s Grand Theatre Center for the Arts, is seeking a passionate, community-oriented individual as the sole staff person of the organization.   The main areas of responsibility are fundraising, daily administrative operations, and accounting management for the Treasurer.  Key responsibilities of this position include, but are not limited to the following:


  • Coordinate fundraising for underwriting
  • Coordinate/oversee Membership Campaign and market/advertise with GF Board
  • Coordinate/oversee Seat Campaign and market/advertise with GF Board
  • Chair annual fundraising event(s) with GF Board, Grand Staff, volunteers and vendors/partners
  • Apply for grants

Administrative Operations:

  • Manage day-to-day office operations, initiating/receiving correspondence, interacting with potential/existing members, working with Grand staff
  • Prepare marketing/promotional materials and advertising/communicating through social media
  • Prepare agendas, minutes and coordination of Executive Committee, General Board, and Sub-Committee meetings monthly; set-up meeting rooms and clean when adjourned
  • Support new board member recruitment in the community
  • Organize donor and membership information
  • Manage the GF responsibilities of the Memorandum of Understanding (MOU) with the City of Tracy
  • Promote, manage/host event(s) requirements—pricing, ticketing, patron access, set-up/breakdown, etc.
  • Oversee all aspects of event(s) preparation—food, linens, flowers, décor, recognition awards, etc.


  • Prepare monthly Treasurer’s Report and print endowment reports and bank statements monthly
  • Assist in annual GF budget and prepare budget(s) for special events as required
  • Process and track all invoices by event
  • Reconcile billings and coordinate payments with Treasurer

The ideal candidate will have between 3-5 years of executive administrative experience and fundraising experience, and a familiarity with non-profit, community based organizations is desirable.  The following are core competencies for the position:

  • Professionally represent the GF at the Grand and in public at various community functions
  • Successfully work with GF Board, Grand Staff, Donors, and Members 
  • Excellent communication skills
  • Schedule flexibility
  • Possess strong managerial background
  • Comfortable working under pressure and meeting tight deadlines
  • Strong computer skills—Word, Excel, Adobe
  • Self-starter who is able to work independently
  • Detail oriented with aptitude to manage several tasks/projects simultaneously 

Salary and Benefits:

  • $2500/month, 30 hours/week
  • Paid national holidays off
  • Ability to take 2 weeks paid vacation
  • Schedule flexibility
