Student Services Specialist
Southern California Institute of Architecture

The Southern California Institute of Architecture (SCI-Arc) is seeking a student services professional to be a part of a diverse community of 500 students, 80+ faculty and 50 staff.  SCI-Arc brings together accomplished architectural professionals who encourage creativity, share knowledge, and foster independence by focusing on the individual learning experience. 

The Student Services Specialist acts as an advocate for both the student and SCI-Arc. The position also supports the Academic Advisor and the Registrar/International Student Advisor in providing daily administrative support for a variety of academic matters related to records, registration, advising, reporting, and student success.

Essential Duties and Responsibilities:

Academic Advising and Registrar Support Duties:

  • Support the Academic Advisor by providing advising information and guidance to students on such matters as academic requirements, registration process, course waiver requests, and other campus activities. Work to ensure accuracy of advising materials distributed to students and faculty
  • Support the Registrar/International Student Advisor in the administration of student records, course scheduling, transcript and diploma requests, as well as assistance with international students VISA requirements
  • Support the Registrar/International Student Advisor and Academic Advisor in performing student graduation checks and assisting with the annual commencement ceremony
  • Work with the Program Chairs and Academic Advisor on the administration of current SCI-Arc articulation agreements and database
  • Assist Registrar/International Student Advisor with the administration of Student Health Insurance procedures, and manage list of local medical resources for students such as hospitals/urgent cares, and nearby support groups
  • Assist with application and review process for continuing student scholarships, and assist Program Chairs and the Academic Advisor with selection of annual student awards and honors
  • Help maintain academic advising records using SCI-Arc’s student data information management system (JENZABAR) to ensure accuracy, integrity, and confidentiality of information in compliance with the Institution and the Family educational Rights and Privacy Act (FERPA)
  • Stay current with the institution’s academic programs, curriculum, practices, and academic/student policies
  • Other duties as assigned 

Career Services Support:

  • Maintain library and inform students of educational and career resources; including SCI-Arc Job Board, internships, fellowships, and competitions
  • Assist Academic Advisor in supporting students with professional registration requirements
  • Support the Faculty Community Outreach Coordinator with community outreach activities and initiatives
  • Work with the Office of Advancement in organizing the annual student job fair


  • Minimum of three years' experience in a college registrar's, academic advising, or student affairs office, or equivalent experience
  • Bachelor’s degree in a related field; a commitment to quality service to students, faculty and other constituents
  • Knowledge of current records, registration, and enrollment policies and processes in a Higher Education environment
  • Understanding of relational database experience (Jenzabar EX preferred)
  • Knowledge of FERPA rules as they relate to student information
  • Strong interpersonal skills and ability to identify students’ needs for support services in order to make appropriate referrals
  • Self-starter and have a demonstrated ability to work independently
  • Attention to detail and strong organizational skills
  • Proficiency with MS Office, Adobe Creative Suite
  • Ability to create and maintain effective working relationships and collaborate with others to achieve common goals
  • Ability to multi-task and work in a fast paced environment.
